Personal data responsibility
The Cloudline is responsible for personal data and thereby responsible for all handling of personal data concerning our trekkers/travellers and other customers.
When do we collect information?
We collect personal data about our trekkers/travellers and other customers in connection with:
- Booking of trek/travel
- Registration for newsletter
- Ordering a travel catalogue
- Any other communication with us
Why do we collect information?
We mainly collect your data in order to deliver the services and products you have ordered from us. When you book a trip with us, sign up for a newsletter or order a travel catalogue, you actively give your consent to us handling your personal data according to this policy. We will not be able to fulfil our commitment to you if you do not consent to this personal data handling. The same applies if for any reason you want your personal data deleted.
In order to fulfil our commitment to you, we use the personal data you have provided to us in order to provide you with information and service in relation to the service you have ordered from us. We also use your data to develop our services in the future. An example of this is when we evaluate a trip after completion. We also handle your customer data in our internal administration, such as bookkeeping and auditing.
You can at any time choose to unsubscribe from our newsletters or opt out of future mailings of, for example, travel catalogues. You can also contact us if you want to receive a register extract of your personal data or if you want to be removed from our customer register.
What information do we collect?
When booking a trip
When you book a trip with us, we collect name, address, telephone number, e-mail, date of birth, gender, nationality, and contact details of relatives. Special information such as health and special diets are always provided voluntarily and, on the trekkers/traveller’s, own initiative. On certain trips, for example if you are going on a trek/trip where we are responsible for visa processing, we will also collect your passport details and any other supplementary information.
When signing up for the newsletter
When you sign up for our digital newsletter, only your name and email address are registered.
When ordering a travel catalogue
When you order our travel catalogue, only your name and address are registered. If you wish, you can also enter your email address to subscribe to our digital newsletter. You will continue to receive our mailings until you notify us that you no longer wish to receive them.
What information is passed on?
When you book a trip with us, your details are used to book hotels, activities, and any domestic flights. The data is disclosed to the partners we collaborate with in order for us to be able to deliver the agreed service (trip). The information we transfer is first and last name and in some cases e-mail and telephone number.
Some personal data may be provided by us (personal data controller) to a supplier of a product or service. These suppliers then become personal data processors and the handling of your data is regulated in a special personal data processor agreement. Examples of suppliers where such an agreement is applied are between us and the printer where we print our travel catalogues. In connection with printing, information for addressing (name and address) is provided from us. Personnel data assistants are obliged to follow the instructions contained in the agreement and may not use provided personal data for purposes other than those regulated in the agreement.
Personal data can also be disclosed if disclosed with the support of laws, regulations, or authority decisions.
How long are your data saved?
We save your personal data as long as it is necessary to fulfil our commitment to you or what is stipulated in your consent to us. We annually conduct a thinning of our customer register where personal data is deleted.
If you have ordered our travel catalogue or subscribed to our digital newsletter, your data will be saved as long as you choose to receive these products from us.
Some personal data is saved in accordance with current legal regulations, for example the Accounting Act.
Your rights
You always have the right to contact us to get information about the personal data we have registered about you.
All handling of your personal data that is caused by an agreed service between us and you take place without active consent on your part. All other processing takes place with the support of consent. You can withdraw your consent at any time. You also have the right to request all the information available about you, and if desired, have your data deleted, restricted, or stopped for further processing. If you choose to have your data deleted, only the data whose existence is regulated by laws or regulations, for example the Accounting Act, will continue.
If for some reason you believe that we are in violation of the current data protection regulation, you always have the right to file a complaint with the Indian Data Protection Authority.
